Position Title: Program Associate

Reports to:  Senior Director of Programs

Job Summary:

The Program Associate is a member of the Foundation’s Program, Initiatives and Public Policy team that will be integral in the process of providing oversight for potential grant applicants, qualified applicants and funded grantees. The Program Associate will engage in substantive programmatic support for several grant categories through the following: review and respond to inquiries; participate in funding recommendations as needed; monitor and track the progress of existing grantees and their programs; and data management in online database. Additionally, this person will be asked to work closely with grantees to assist in their growth and development as they seek to improve the lives of families and individuals experiencing poverty in South Carolina as directed by the Senior Director of Programs, while working closely with Program, Initiatives and Public Policy team members.

Job Duties and Responsibilities:

Grantmaking

  • Support potential grant applicants
    • Field inquiries and respond to inquiring organizations/potential grantees providing guidance on deadlines, how to access applications, funding guidelines, etc.
    • Monitor unsolicited information that may be mailed or emailed to the Foundation, saving and filing if deemed as having potential for future funding.
    • Educate and inform Program, Initiatives and Public Policy team of activities in the state as it relates to nonprofit organizations working with the families and individuals experiencing poverty.
    • Help schedule and/or participate in fact-finding and relationship building meetings or phone calls as needed with potential grantees.
    • Work closely with the Program Manager with ultimate oversight given by the Senior Director of Programs.
  • Support grant applicants:
    • Participate in review of applicants providing research and data to support funding recommendations.
    • Assist with feedback for applicants who are declined funding.
  • Support grantees:
    • Engage with new grantees to answer questions and help set up site visits for program manager(s) and the Senior Director of Programs when needed.
    • Participate in site visits as needed and provide summaries for Program Manager.
    • Track vital organizational statistics and successes.
      • Provide data management and impact assessment: monitor grantee interim and final progress reports in conjunction with the program manager(s); make initial assessments of reports and provide to program manager(s) for further review.
    • Research, review and maintain a “database” of noteworthy activities, including success stories from grantees
    • Assist with Grants Committee: preparation of meeting packet, preparing minutes from meetings, assisting with any needed follow up from the meetings, etc.
    • In conjunction with the Program, Initiatives and Public Policy team, provide Communications’ team with grantee highlights for social media and press release activities.

Programming Support

  • Support the programming oversight of grantees.
    • Based on thorough assessments and relationship building with grantees, make recommendations to Program, Initiatives and Public Policy team to help grantees to build capacity and produce measurable outcomes.
    • Build relationships with grantees alongside Program Manager.
    • Perform site visits either individually or in tandem with program manager(s) and the Senior Director of Programs.
    • Keep records of relationship building activities with grantees and program staff.

Initiatives Support:

  • Assist with Collaboration for Ministry Initiative to include record keeping, logistics of Advisory Council meetings, and CMI Annual Conference.
  • Assist in the successful execution of the Kinship Care Advisory Council quarterly meetings providing lunch, scheduling logistics, reminder emails and note taking.
  • Support the Program, Initiatives and Public Policy scholarly initiatives with event planning and logistics.
  • Event planning and logistics responsibilities will include planning, organizing, coordinating, and executing activities in support of Initiatives and Policy work including managing space and catering need.
  • Compile new research and best practices relevant to Foundation’s mission and various Initiatives
  • Assist Research and Policy Manager with tracking relevant local, state and federal laws or policies that may drastically impact those individuals experiencing poverty.
  • Attend community meetings to build and foster new relationships statewide as needed.

Requirements:

  • Four-year college or university degree with two to three professionally in the nonprofit sector is preferred. Two year degree may be considered with supplemental work experience
  • Knowledge of and commitment to the mission, core values, focus and vision of the Foundation as well as grantmaking initiatives and grantee activities.
  • Knowledge of database and/or tracking systems of nonprofits.
  • Computer literate and knowledge of computer software programs being used.
  • Demonstrate strong organizational and social skills to represent the Foundation in a variety of settings.
  • Demonstrate strong analytical skills.
  • Must demonstrate exceptional capacity in written and oral presentation.
  • Demonstrated ability to exercise independent judgment and initiative; to prioritize and accurately complete multiple tasks; and to work under deadlines.
  • Experience and inclination to work in a team-oriented environment.
  • A strong team player with a diplomatic, professional manner.
